This is a shared digital home for Student-Run spaces to promote upcoming shows and to build an archive for future students to look back on.

If you are coordinating any of these spaces this year, you can request editing access.

Run a Group or Gallery

Have an idea for a Group or Gallery? That’s Great!

Read on to learn how to become an official AUArts SA Group or Gallery!

  • To become an official AUArts SA group you will need to provide the following information to studentgroups.sa@auarts.ca:

    1. A short mandate. What your group is about and what you hope to achieve.

    2. Whether or not you wish to be added to our archive of student groups on the SA website.

      1. If yes – then we will need a 1x1 image or logo to go with your group.

  • To become an official AUArts SA Group or Gallery, your group must:

    1. Not be something that already exists on campus

    2. Open to participation from all AUArts students.

    3. Have at least two co-directors that are current AUArts students

  • You may promote your group’s events, activities, and initiatives through:

    • Social Media

      • Instagram: Tag us in your post/stories or DM your post to @auarts.sa and we will share it on our story and/or repost it.

      • TikTok: Tag us in your post or DM your post to @auarts.sa and we will repost it.

    • Place posters up at AUArts

      • Please note that you must get posters stamped by AUArts Operations, located in the Main Mall, for approval.

  • There are multiple ways in which to fund your club:

    1. MicroGrants:

      Our MicroGrants program provides funding for Groups + Galleries to provide programming, events, and activities.

    2. Fundraising

      Groups and Galleries can fundraise for activities and initiatives through sales (selling items, baked goods, etc.) AUArts SA has cash float boxes and square readers available as well as food safety guidelines if you’re looking to do a bake sale.

    Please note: AUArts SA does not hold club funds, and all money made by a Group or Gallery is their responsibility.

  • AUArts SA provides multiple services for Student-Run initiatives and events.

  • On-Campus

    AUArts requires that all events are submitted via the AUArts Event Form. We also have physical copies available in our office for pickup.

    This form must be filled out two weeks in advance of the event. This is to ensure the space you’re booking is available.

    1. You must contact any of the appropriate departments regarding any services you may require.

      Example: If I want to have a screening in the cafeteria - I will need AV Services. Therefore I will need to contact AV for their support, and receive a signature from them.

    2. Get the form signed by all relevant parties and either send it to office.sa@auarts.ca or drop it off in-person to our office.

      AUArts SA will need to submit the event form on your behalf with at least 14 days before the event remaining, so please ensure this time is accounted for and aligns with our office hours.

    3. AUArts SA sends the form to Campus Operations for review.

      You will be notified with any follow-up questions or upon approval of the form.

    Off-Campus

    You may run events off-campus at your own discretion. AUArts and AUArts SA is not responsible for off-campus activities.

    • The Nest, an AUArts SA space on the 5th floor is an open space for students and is frequently used for meetings, gatherings, and small events.

    • Any empty classroom assuming it is not in use or booked. (check the schedule on the door of the room).

    • The Library has private, bookable rooms for meetings!

  • Need a space to meet, install, exhibit, critique, discuss, or host an event?

    If you’re interested in co-directing a gallery space, contact the appropriate technician and see how you can get involved! on

  • To ensure your group or gallery outlives your time as co-director consider doing the following:

    1. Make a plan. At the beginning to mid-point of the academic year build out a transition plan that includes leadership, funds, social media, and any any other relevant information.

    2. Build a transition package. This package should include a group mandate and history (members, events, etc.), grant applications and reports, photos, logos, and account passwords. It should include information on how the group was run, and any tips for running the club.

    3. Find suitable leadership before the conclusion of the academic year. This will ensure there is leadership in place for the Fall of the new academic year.

      • Consider recruiting members and those who currently participate in group activities. Current members have an idea of how the group runs and what it does, which makes them invaluable to the longevity of the group.

    4. Put a call out for leadership through social media, posters, etc. This can be done towards the end of the academic year as well as the beginning of the new academic year.

MicroGrants

The Students' Association Community Micro-Grants program offers funding and support to clubs and student-run galleries.

Micro-grants foster collaboration, facilitate skill and knowledge sharing, promote professional development, provide opportunities for low-stakes entry-level arts administration, and create a strong creative community at AUArts.



MicroGrant Information

  • Each group is eligible for:

    • $250 for New Groups (Created in the current school year)

    • $400 for Established Groups.

    You will have to reapply with an updated proposal each semester.

    We will need to receive a Funding Report before your group/gallery can applying for additional funding. An example proposal and funding report can be found above.

  • Funding applications remain open until all funding has been depleted from the MicroGrants pool.

    Applications are reviewed at the beginning of each month. 

  • MicroGrants are used to support the initiatives of the Group or Gallery during the semester the funding is requested.

    Funds must be spent as outlined within your MicroGrant application.

    ✅ Eligible ✅

    Examples:

    • Galleries typically use their funds for paying artist fees, gallery supplies, and food for receptions.

    • Groups typically request funding for club-specific materials such as games, snacks, art supplies and equipment.

    Any assets, materials, items, or equipment purchased must remain within the group, or to a trusted AUArts faculty/staff member or technician (if approved by the Association), or to the Association itself.

    🚫 Ineligible 🚫

    • Granted money cannot be kept in-pocket. All funds must go to the project or sustainability of the project.

    • Drugs or Alcohol (except if you’re booking our bar service for your event).

    NOTE: Misuse of funds or failure to meet reporting deadlines will effect your funding eligablility.

    • Minor Offence: Your funding will be reduced in the future.

    • Major Offence: Your group and its directors will be permanently ineligible for future funding.

  • Congratulations!

    1. Keep receipts - You will need to provide them along with your funding report.

    2. Send us a funding report by the end of the academic year or before applying for additional funding.

      All funds must be accounted for — Any remaining or unaccounted funds must be returned to AUArts SA.
