Looking for bar service at your on-campus event? AUArts SA is licensed and authorized to provide a mobile bar cart stocked with alcoholic and non-alcoholic beverages and staffed with a bartender.
Bar Service

To request a bar you must notify the AUArts SA office a minimum of 14 days before the posted event date.
Event organizer fills out Event Form.
Filled-out event form is brought in-person to AUArts SA Office or emailed to office.sa@auarts.ca for approval.
Services Manager or Executive Director reads over form and ensures event adheres to the Bar Booking Policy and:
If event adheres, form is signed and emailed back, or physically returned to event organizer. An Outlook calendar event marked PENDING is created, and the event organizer is invited. A Bartender is booked for the requested time.
If an event does not adhere, form is returned to event organizer with feedback regarding policy adherence. Event organizer can then update form and re-attempt submission.
Event organizer submits signed form to Campus Operations. This includes additional signatures for services such as security, maintenance, AV, etc. as needed.
This form must be submitted a minimum of two weeks from event date.
Once the event is approved by AUArts, calendar event is marked as APPROVED.

Bar Services are booked exclusively through the AUArts Events Form.
Event forms must be checked directly by the Services Assistant or Services coordinator through email or in person to confirm approval for the bar.
Bar Services must be booked a minimum of two weeks before event date.
Bar Services must be booked a minimum of 2 hours to a maximum of 4 hours.
Special exceptions can be made to this upon approval from the Services Coordinator.
Bar Services must start and end at the same time the proposed event starts and ends.
Event organizer must be an AUArts entity (AUArts Admin, Technician, Faculty, Illingworth Kerr Gallery) or an approved AUArts SA entity (Marion Nicoll Gallery, Student Life, Show + Sale, or approved student group – contact AUArts SA Programs Manager for list of approved groups)
Bar Services are limited to the following areas:
AUArts Main Mall (upper, mid, lower)
Cafeteria Seating Area
Room 371
These are the only areas alcohol is licensed for. Alcohol cannot leave these areas. Alcohol cannot move into or through hallways or stairwells.
Events are required to have security present (subject to a security fee) if:
Bar is scheduled for over 2 hours, or if bar services overlaps with another bar booking that would make the bar services last over two hours.
If there are multiple bars booked in separate locations.

Bartender(s) will arrive for their shift 30 minutes before the event begins and begin setup at this time. Alcohol is not served until the time the event begins.
Alcohol service concludes (last call) 30 minutes before the event ends. The SA bar will continue to serve non-alcoholic beverages at this point, until the bar service concludes.
If the bar makes less than $100.00 in revenue the event organizer will be invoiced a 50$ booking fee via Square.
Policy
Liquor is provided by AUArts SA. All bar revenue is absorbed by AUArts SA, and applied to bar operations and AUArts SA Community Pantry expenses. External alcohol is prohibited.
It is mandatory that patrons provide ID if they appear under 25, if they wish to be served alcohol. If a patron appears intoxicated they will be cut off from bar service.
Alcohol cannot leave the booked area, or move into/through hallways or stairwells.

Float Kits
AUArts SA can provide a Float Kit for your event so you can accept all forms of payment.
Book a Float Kit
This kit includes:
A float with 100$ cash.
A contactless Square Reader (For tapping phones + cards and inserting cards).
A swipe Square Reader reader (for swiping cards),
Please note that you must have a phone or tablet with a Square Account to use a Square Reader. AUArts SA does not provide a Square Account.
Terms + Conditions
Float Kits are available for use by AUArts Student Groups, Galleries, and Departments.
All bookings must be received a minimum of 7 business days before the date of event.
All bookings are confirmed on a first-come first-served basis.
After use Float Kits must be returned to the SA with it's starting amount of cash and with the Square Reader in clean, working condition.
Borrowers will be charged for any missing funds from the float's starting amount.
Borrowers can separate and remove their cash sales from the starting amount.
A warning will be issued for Readers returned in unclean condition.
Borrowers will be charged the full replacement cost for lost, stolen, or damaged Readers.
Failure to provide payment will result in a ban from use of the Float Kits.
Health + Dental Plan
Any student enrolled in 3 credits or more at AUArts is enrolled in the Health + Dental plan.

The Nest
Located on the fifth floor in AUArts, The Nest is a communal student space run and maintained by AUArts SA. The Nest is maintained by our VP Student Life.

Popcorn Machine
AUArts SA's Popcorn machine is a great way to attract people to your event, and comes stocked with everything you need -- Popcorn Packs, bags, napkins, and cleaning supplies.

Terms + Conditions:
The popcorn machine is available for use by AUArts Student Groups and AUArts staff.
2. All bookings must be received a minimum of 7 business days before the date of the event.
All bookings are confirmed on a first-come first-served basis.
3. There is a non-refundable 25$ booking fee for use of the popcorn machine. Bookings that extend longer than a day are subject to an additional 15$/day fee.
Student Groups are required to pay applicable chargers before date of rental.
Payment can be made with cash, credit, or debit.
AUArts staff may pay upfront or can provide an account # for invoicing.
4. After use the machine must be returned to the SA in clean condition.
A 25$ cleaning surcharge will be applied if a machine is returned unclean.
Borrowers will be charged the full replacement cost for lost, stolen, or damaged equipment.
Failure to provide payment may result in a ban from use of the popcorn machine

Community Hub
The Grove is our student-powered resource hub designed to help you thrive. It is home to our Student Pantry, Art Supply Exchange, and Clothing Exchange.
Rooted in community, The Grove is largely donation-driven. We rely on the generosity of our AUArts students, guests, and faculty to keep our shelves and racks stocked.
The Grove is located on the 2nd floor of AUArts, by the elevators and cafeteria. It is behind locked doors that require key-card access by AUArts students, faculty, and staff. It is wheelchair accessible, The Grove operates between September - April, and is open during AUArts campus operation hours.

Student Pantry
The Student Pantry provides an immediate, short-term solution for students experiencing food scarcity at AUArts. The Pantry is funded in part by AUArts SA, AUArts, and through in-kind food and monetary donations.

The Pantry is restocked and cleaned twice per week — Mondays and Wednesdays during the Fall and Winter semester. This does not include holidays and reading week.
We encourage you to take what you need.
Due to funding limitations there is limited stocked available. Please be mindful of this when taking items.
We encourage students to check out the Food section of our Resources Board for additional assistance.

AUArts students, guests, staff, admin, and faculty are encouraged to drop donations off at our donation bins.
Donation bins are located In front of the AUArts SA office, in the pantry area, in the AUArts staff lunchroom. These bins are emptied and cleaned weekly.

Have a donation for the pantry? That’s great! Please ensure it adheres to our guidelines before dropping off:
✅ YES: We Gratefully Accept
Sealed Items: Food must be in its original, unopened packaging.
Non-Perishable: We accept shelf-stable goods only.
In-Date: All items must be within their original expiration date.
Original Labels: Packaging must be intact with all nutritional information clearly visible.
❌ NO: We Cannot Accept
Opened Items: Any packaging that has been previously opened or tampered with.
Expired Goods: Items past their expiration date will be discarded.
Severely Damaged Items: We cannot accept cans that are leaking, rusted, or severely dented, or boxes that are torn.
Perishables: No fresh produce, meat, or dairy can be accepted at this time.

Instant Noodles: Cup Noodles, Ramen, and Vermicelli.
Boxed Meals: Mac & Cheese, Hamburger Helper, and pasta kits.
Canned Soups: Hearty stews, chili, and classic soups.
Microwavable Grains: Ready-to-eat rice pouches or quinoa.
Proteins & Staples
Canned Proteins: Tuna, chicken, and beans (chickpeas, black beans, etc.).
Nut Butters: Peanut butter or sunflower butter.
Pasta & Sauce: Dried pasta and jars of marinara or pesto.
Breakfast: Oatmeal packets, cereal, and granola.
On-the-Go Snacks
Energy Boosters: Granola bars, protein bars, and trail mix.
Fruit & Veggie: Fruit cups, applesauce, and canned vegetables.
Savory Snacks: Crackers, pretzels, and popcorn.
Beyond Food (Hygiene Essentials)
Personal Care: Unopened toothpaste, toothbrushes, and soap.
Menstrual Products: Pads and tampons.
Art Supply Exchange
The Clothing Exchange is a donation-driven, student-led initiative dedicated to promoting sustainability and providing accessible high-quality, pre-loved apparel within our campus community.

Donations can be dropped off directly on-location at the Art Supply Exchange.

Do you have art supplies that need a new home? Donate them!
✅ YES: We Gratefully Accept
Good & Usable Condition: Supplies that are ready for immediate use (e.g., sketchbooks with pages left, working tools, full/half tubes of paint).
Art Books: Technique guides, art history books, and inspiration.
🚫 NO: We Cannot Accept
Unusable Supplies: Dried-out markers or pens, pencil nubs, scraps, or broken equipment.
Non-Art Supplies: General household items or miscellaneous clutter.
House Paint: We only accept artist-grade paints (acrylic, oil, watercolor, etc.).
Toxic Items: Any materials labeled as hazardous, flammable, or toxic.
Please do not dump items that do not meet our guidelines. They will be discarded.
Clothing Exchange
The Clothing Exchange is a donation-driven, student-led initiative dedicated to promoting sustainability and providing accessible high-quality, pre-loved apparel within our campus community.

To help our team manage inventory and maintain a clean space, we have utilize an in-person intake model.
Location: Donations are only accepted at the AUArts SA Office.
Hours: Please drop off items Monday through Thursday, between 11:00 am and 4:00 pm.
On-the-Spot Review: You must be present while our front desk staff processes your donation.
Unaccepted Items: Any items that do not meet our current quality guidelines will be returned to you immediately.
Please do not leave unattended donations at the Clothing Exchange or the SA Office.

Please ensure your donations meet the following criteria to be accepted into the exchange:
YES: We welcome clothing that is new or gently used.
YES: All items must be freshly cleaned.
YES: We currently only accept adult-sized clothing.
To maintain a respectful and hygienic environment, we cannot accept the following:
Damaged Items: Clothing with holes, rips, or broken zippers.
Soiled Items: Unwashed clothing, or items with stains, odors, covered in hair or pet fur.
Undergarments: Used socks, underwear, or bras.
Non-Clothing: Rags, fabric scraps, or household items.
